Event Planning Information

Danzband charges a fixed hourly rate for events with a 3 hour minimum and a 5 hour maximum. The hourly rate applies from the time that the band is set up and ready to play until the last song of the evening. An additional travel charge applies to performances further than 20 miles from Palo Alto. For a quote please email us with the time, location and approximate number of guests for your planned event. Our email address is: danzband@yahoo.com

When you hire DanzBand we work with you to help you create a successful and memorable event for you and your guests. Here is a list of issues to consider when planning an event with live entertainment:

Where do you want the band to set up its equipment?
The band ideally would like an area with dimensions of 10 x 16 feet in addition to the dance floor. Wooden dance floors are preferable for your guests and are available from rental companies. It is helpful, though not necessary, that a room or closet be available for storing our instrument cases during the event.

Can the lighting be dimmed over the dance floor?
Whenever possible it is preferable to reduce the lighting level over the dance floor as this helps the dancers to feel more comfortable.

Is there an electrical outlet near the band area?
The band requires a single electrical outlet, preferably within a distance of 50 feet of the performance area. If the nearest outlet is further than 50 feet away then please let us know ahead of time. Also we need to run the extension cord from the outlet to the band without obstructing any paths for your guests, which sometimes means running the cord over a doorway. We ask that you let us use our own extra heavy gauge extension cord because using a normal heavy duty extension cord can result in reduced performance from our sound system.

The band equipment uses about 15 amps at 120 volts, which is well within the capability of most electrical systems, but it is important that the band power be provided from an outlet that is on a circuit breaker that is not shared with other high power devices (such as food warmers used for catering).

When can the band access the venue for equipment setup?
Please let us know ahead of time when the band can get access to the performance area. Normally we require at least one hour to set up the equipment (an hour and a half is ideal) and about three quarters of an hour to pack up after the performance.

What is the schedule for the evening?
Please let us know at least a rough schedule for your event to help us to plan our setlist and to help the evening run smoothly. For example if your event includes a sit down dinner we can play a set of quiet jazz or easy listening selections. We can also use our sound system's iPod and CD player to provide background music. Our sets are typically 50 minutes long with 10 minute breaks during which we keep the party moving with pre-recorded music from our sound system's iPod and CD player. Also please let us know if you would like to use the sound system for speeches and when you would like this in the schedule.

What volume level is appropriate for your event?
DanzBand mixes its sound at a lower level than most bands. We have found that the lower sound level helps us to maximize the quality of our music while keeping your guests happy. If at any time during our performance if you are not happy with the volume level please let us know and we will adjust the sound up or down to your taste.
